We take the protection of your personal data very seriously. This Privacy Policy explains how we process personal data on the Private Wiki website and outlines your rights as a user.

1. General Information on Data Processing

The Private Wiki website is fully hosted in Switzerland by Infomaniak.com.

We adhere to the Swiss Data Protection Act (DSG) and the EU General Data Protection Regulation (GDPR) to ensure the protection of your personal data.

If personal data is transferred to countries outside Switzerland or the EU, we ensure an adequate level of data protection through appropriate safeguards, such as EU Standard Contractual Clauses.

2. Data Collected

Registration

To use Private Wiki, we require only a valid email address. No other personal data is needed for registration.

User Activities

After registration, users can save entries, images, and links in their personal wiki.

These contents are made available only to authorized persons within the subscription. Private Wiki does not process or analyze these contents further.

Subscription Management and Payment

Payments and subscriptions are managed entirely through our partner Digistore24 GmbH, which also ensures data protection in compliance with GDPR.

File Storage on Amazon S3

We store uploaded files (e.g., text documents, images) on Amazon S3, located in the Europe-Zurich Zone. Consequently, the data is physically stored on servers in Switzerland, which enhances the performance and security of our services.

Amazon S3 is a service provided by Amazon Web Services, Inc., known for its reliability and security. The use of this service is governed by the standard terms and conditions of Amazon Web Services, which ensure the protection of your data in accordance with the Swiss Data Protection Act (DPA) and the EU General Data Protection Regulation (GDPR).

For more information about data protection at Amazon Web Services, please refer to their privacy policy available at the following link: AWS Privacy Policy.

Automatic Data

When visiting our website (even without logging in), technical data is automatically stored on the web server (e.g., IP address, browser information, access time) to ensure smooth operation.

These log files are deleted no later than 30 days after they are created.

3. Cookies

Cookies Used

Private Wiki uses only technically necessary cookies. These include session cookies and cookies for the “Stay Logged In” function. As only essential cookies are used, we do not require separate consent.

Note on the “Stay Logged In” function

When you use the “Stay Logged In” function, your login remains active beyond the current session.

We recommend using this function only on your own device.

Please note that logging out on one device will also invalidate “Stay Logged In” information on other devices.

4. Legal Basis for Data Processing

Technically Necessary Data

The processing of technically necessary data, such as web server log data, is based on our legitimate interest under Article 6(1)(f) GDPR, as it is required to ensure the operation and security of the website.

Data for User Registration

Data required for registration and provision of the private wiki is processed to fulfill the contract under Article 6(1)(b) GDPR.

5. Use of a Payment Service Provider for Order Processing

When you choose a Private Wiki subscription, you will be guided through the order and payment process.

To process payments for your order, we use the payment service provider Digistore24 GmbH. The operating company is Digistore24 GmbH, St.-Godehard-Strasse 32, 31139 Hildesheim, Deutschland.

Digistore24 GmbH acts as the seller on behalf of Coole-Software Walter and serves as the data controller in accordance with the GDPR, acting as your direct contractual partner (Merchant of Record).

All payment information necessary for transaction processing is stored directly by Digistore24 GmbH to ensure correct payment processing. The legal basis for this processing is Art. 6, Para. 1, lit. b, GDPR.

6. Data Retention and Deletion

We retain all data related to registration and content created during the use of Private Wiki (texts, images, and links) only for the duration of an active subscription.

At the end of your subscription, all files uploaded and data entered into Private Wiki will be retained for a period of thirty (30) days. After this period, this data will be permanently deleted. We kindly ask you to download any files and data you may need before your subscription ends to ensure continued access.

Payment data is stored exclusively by our partner Digistore24 GmbH in accordance with their legal retention requirements.

7. Data Security

Data transmission

Private Wiki uses SSL/TLS encryption to ensure secure data transmission and to protect your data from unauthorized access.

Encrypted Storage on the Web Server and Amazon S3

Texts, uploaded images, and documents are encrypted not only on our web server but also when stored on Amazon S3. This encryption protects your data against unauthorized access, even in the event of a security breach. We employ advanced encryption technologies on both the web server and Amazon S3 to ensure the confidentiality and integrity of your data. These measures guarantee that your data remains secure and protected, regardless of where it is stored.

Decryption for Browser Cache

Images displayed in the browser must be decrypted for this purpose. As a result, these images may be temporarily stored unencrypted in the browser cache to optimize loading times and improve the user experience.
